If paying by credit or debit card, full payment must be made at the time of registration. All card payments are processed using Worldpay, our secure payment gateway.

Alternatively, you can request an invoice during the booking process in order to pay by BACS, cheque or over the phone.

Early Bird Discount

Payment of fees (where the early bird discount applies), must be made by the 30th April 2019. If payment has not been made by this date, your invoice will be cancelled and a new one raised for the full amount.

Your conference registration will not be confirmed until full payment has been received. Following early bird bookings, all payments must be received prior to 30th June 2019.

BELMAS reserves the right to re-allocate accommodation in the event of non payment.

Refund Policy

Refunds will be given prior to 28th February 2019. Please see cancellation charges below that apply from 1st March 2019 onwards.

Prior to 28th February 2019 No cancellation charges apply
Between 1st and 31st March 2019 50% of total registration charge
Between 1st April and 9th May 2019 75% of total registration charge
Between 10th May and 30th June 2019 90% of total registration charge
1st July 2019 onwards 100% charges apply

Accommodation Payments

Full pre-payment of the event is required.

Currency Accepted

All prices quoted are in GBP and include taxes.

No Show

In the event of a no-show full charges will apply for the entire booking and no refunds will be given.

Rates & Room Types

A single room rate entitles the room to be occupied by one person for the duration of stay.  For double occupancy, please refer to room rates.

The hotel cannot guarantee your room will be available before the check in time of 14:00 hours GMT if you arrive early, however, every effort will be made to give priority to overseas visitors where advance notice has been given to the BELMAS Office. If you wish to arrange a late check out after 10:00 hours GMT, this can be organised upon arrival where the hotel will be able to advise of availability and any additional charges for this service.

Please note that you are responsible for settling all extras incurred on site directly with the hotel on departure.

Data Protection

You will receive a delegate list as part of your conference pack.  This consists of your name, institution and email address.  If you prefer not to be included in our delegate list, please email info@belmas.org.uk

Joining instructions are sent to delegates who have paid their registration fees well in advance of the Conference itself. If you have not received these at least a week before the Conference, please email BELMAS.

Notification of cancellation must be received by email to BELMAS by the 30th June 2018. No refunds will be given after this date.

Photographs will also be taken during the conference period. Following the conference, these images will be available on our website and may be used for future marketing materials. Please contact the BELMAS office if you do not wish for your photographs to be used in this way.
